Job Title: Administrator
Location: Midlands/North (Remote working possible)
Hours: Part-time (Three days per week)
Salary: Dependent on experience
Reporting to: CEO
Main purpose
  • To provide administration that is efficient and effective to support One By One in the management and administration of its fundraising, HR and marketing functions.
  • To assist CEO and effectively manage her schedule.
  • To help co-ordinate fundraising activity/donor support.
Duties and responsibilities
Administration support:
  • Maintain the smooth running of the charity office (remote), dealing with enquiries by telephone, email and post, and maintaining filing systems (both electronic and hard copy).
  • Maintain a comprehensive paper and electronic filing system, scanning documents and producing documents as required.
  • Deal with donors in an appropriate and personable manner.
  • Make any necessary travel arrangements for the charity team.
  • Set up meetings, book meeting rooms and co-ordinate events accordingly.
  • Assist with keeping the donor databases and records up to date, including forwarding any data protection queries.
  • Maintain office supplies and orders, creating purchase orders accordingly.
  • Attend occasional evening and weekend fundraising/charity events and exhibitions as required.
  • Formatting organisation policies in line with brand guidelines.
  • Assist with the administration of the finance, expenses and donor support.

Assisting CEO:
  • Organise, update and maintain the CEO’s diary and address book, arranging appointments/speaking engagements. Travel with the CEO as appropriate.
  • Liaise with the CEO daily regarding the events of the day and follow up actions.
  • Assist in social media enquiries.
  • Liaise with trustees, executives, staff, consultants and external organisations to arrange meetings, prepare agendas and draft minutes.
  • Attend occasional events/exhibitions/meetings as requested by the CEO.
  • Minimum two years’ related experience; charity sector/administration.
  • Proficiency with spreadsheets, databases, and word processing.
  • Ability to multi-task and prioritise in a dynamic work environment.
  • Strong attention to detail and ability to work as a team member with minimal supervision.
  • Strong written and oral communication skills and excellent phone manner.
  • Ability to develop effective work plans, organise details, set priorities and meet deadlines.
  • Ability to operate and troubleshoot.
